Message notifications

Key point: Define who a PageSeeder message is sent to.

The message notifications are available at the bottom of every form that might send a message to members of a group. A message might be spawned through the creation of a comment, task, workflow, version, edit note, document or a URL event.

You don't need to change the message notifications unless you want to override the default behavior.

The type of message, message notifications, and individual notification settings determine whether a user receives a message.

Overview

The options available are as follows:

Silent

When the notification is set to Silent, PageSeeder does not send any notification.

This is the default setting for messages spawned by the creation of versions, edit notes, multiple workflows, documents, and URLs.

If the message is a comment or an update to a task, it still appears in the digest of members who have elected to receive a daily or weekly digest.

Minimal

When the notification is set to Minimal, PageSeeder only notifies the discussion authors, assignee and approvers. Discussion authors are members who have written a comment or a reply in the discussion. Discussion authors are not notified for workflows.

Use minimal when you want to ensure that only members involved in a discussion, task, or workflow receive a message. This is the default for workflows and assigned tasks.

Normal

When the notification is set to Normal, PageSeeder sends notifications following the individual notification settings of each member.

This is the default setting for comments and unassigned tasks.

Announcement

When the notification is set to Announcement, PageSeeder sends a message to everyone in the group regardless of their notification settings.

Announcement messages are marked as announcements and generally include a banner to make it clear to the recipient that the message was sent to everyone in the group.

Because it overrides individual notification settings, only use this option sparingly for important messages.

Notification outcomes

The following table provides the notification outcomes based on the intersection of the options applied to a message and the settings of each member. 

Yes = message is sent

No = message is not sent

Maybe = message is sent only if the member is any one of:

  • Assignee – notify the member that has been assigned on the task step.
  • Approvers – if task status on the message corresponds to what has been set for Status Broadcast Approversin group properties page, every member with a role of Approver is notified.
  • Authors – unless the thread is a workflow, notify all members that have added a comment to it.
