How to archive a document

Key point: Move a document to the archive folder.

Prerequisites

You must have a role of contributor or higher in the group.

Option A: from the document

To archive a document, from main section on the document view page:

If the document contains no xrefs:

  1. Click the icon to the right of a document to open the archive document dialog.
    1. Click the Archive button.

If the document contains xrefs:

  1. Click the icon to the right of a document to open the archive document dialog. You are asked to confirm that you want to archive the document and you see a icon and message stating the number of outgoing xrefs in the document.
  2. Outgoing xrefs and image references are removed from the document by default. Click the checkbox to clear this option if you don’t want to remove them.
  3. If you want to run a report to fix remaining xrefs manually, click the checkbox beside that option.
  4. Click the Archive button to confirm you want to archive the document.

Option B: from the folder

The archive document dialog is also available in the documents page.

Click the icon on the right when you hold the cursor over the document’s title in the list.
