Archive document dialog

Key point: To preserve the document content and history but remove it from search results or other reports.

An archive folder is created by the system when a group is created. Documents can be moved to the archive folder from the main section on the group documents page.

Click the icon to the right of a document to open the archive document dialog.

You are asked to confirm that you want to archive the document.

If the document is linked to other documents, you see a icon and message showing the number of incoming xrefs, outgoing xrefs and images in the document.

References when archiving documents

Outgoing xrefs, links and image references in the document are unresolved by default. Click the checkbox to clear this option if you don’t want to unresolve them.

  • If you choose to unresolve – in the archived document the references appear as broken but broken reverse xrefs do not appear in target documents, URLs and images.
  • If you choose not to unresolve – in the archived document references don’t appear as broken but broken reverse xrefs appear in target documents, URLs and images.

It is useful to unresolve references when archiving so that target documents, URLs and images are not cluttered with broken reverse xrefs.

Validation report on an archived document

Whether you choose to unresolve references or not, you can run a report that lists all broken incoming and outgoing references so that you can fix them manually. Click the checkbox beside that option to run a report after archiving.

Click the Archive button to confirm you want to archive the document.

No references in document to be archived

If there are no xrefs, links or images in the document to be archived, you are only asked to confirm you want to archive the document. Click the Archive button to confirm.
