Document tasks panel

Key point: List all tasks in your document.

When viewing a document, click the icon in the right sidebar. The Document task panel opens on the right.

Inactive tasks

By default, this panel only lists active tasks. If there are any inactive tasks – for example, tasks which have been closed –an option to show the inactive tasks is displayed at the top.

Click the switch to include or exclude inactive tasks in the list.

No existing tasks

If there are no tasks, you see a message in a blue box with an icon indicating there are no tasks in the document.

Existing tasks

You see two column headings:

Title

Under the Title, the task status and priority are indicated, followed by the title of the task as a link. Click the link to open the task panel.

To the right of the title, if the task is still open past the due date, you see an orange OVERDUE message. If the assignee on the task is yourself, you see a dark blue message with ASSIGNED TO ME.

Last updated

Under this heading is an indication of when the task was last updated. This is when the latest comment in the task was created and isn't changed by moving the whole task or editing any of its comments.

A icon is shown when the task relates to the whole document. A icon indicates that the task is attached to a fragment in a document. Click this icon to navigate to the fragment the task was created on.

For developers: The API can be used to modify the last updated date by changing the creation date of the last comment in the task. However, the recommended way is to add another comment so that the task history is visible.

Archived comments

If the  Show archived comments, tasks and discussions option is turned on in preferences, you see a message at the top of the panel, whether or not any archived tasks exist. Click the Turn off button if you don’t want to see archived comments.

When all comments in a task have been archived, the archived task displays in the document discussions panel.

Create a task

You can create a task on the document by clicking the Create task button to open the create task dialog.

To create a task on a fragment, post a comment on the fragment and click Make this comment a task.

A Title for the task and then a comment are required to be entered. The status, priority and assignee are selected in the drop-down menus. A Due date, when completion of the task is required, can be nominated by clicking in the field then click a date on the calendar.

Click a label to apply it to the task, or create a new label by clicking the icon.

Attachments can be added by clicking the Attach files button.

The default notification for a task is minimal. You can change the message settings by clicking the icons on the right.

Click the Create Task button to create the task.
