Document toolbar

Key point: Main actions and information for the document being viewed.

The document toolbar is located under the dark blue header bar. You can change the mode between review mode and edit mode by clicking the edit mode switch – the coloured circle containing a  icon, located at the far right of the toolbar.

When in review mode, the breadcrumbs show the location of the current document. Click the icon to display the breadcrumbs or not.

  > project > group > subgroup > folder > subfolder

When in review mode or comparison mode, at the end of the location, the document title can be edited – click the icon to the right of the document title.

If the document has been archived, when in review mode, the Unarchive document icon displays following the icon – click to open the unarchive dialog.

Toolbar icons

The icons and actions available are located in the middle of the toolbar, and depend on the following:

When in review mode (PSML)

Review mode (PDF)

* in the toolbar, the “page number” changes as you change page but can be used to jump to a more specific page. To the right of the page number, the page is displayed relative to the total number of pages.

When in comparison mode (PSML only)

Using the compare documents panel, when you are in compare mode, the toolbar icons are the same as when you are in review mode, with the addition of the following:

When in edit mode (PSML only)

When the edit mode switch is first clicked, the icons in the middle of the toolbar disappear. Then, when you click a fragment in the document, the editing toolbar is available.

General information

In review mode, the following information is displayed about the document:

  • Document version being viewed (if different from current). The icon is used to denote a version that applies to the entire publication.
  • File size (non-PSML document only).
  • Archived – if the document is archived.
  • Public – if the document is available publicly (visible to members outside the current group).
  • Shared – if the document is shared with another group.
  • The document type (PSML only).
  • The document status (if there is a workflow associated with the document).

Some documents also provide the following options:

  • Print – to print the document (PDF and images only).
  • Download – to download the document (non-PSML documents).

Edit mode switch

For PSML documents, PageSeeder indicates whether the document can be edited or not. At the far right of the toolbar, it is a coloured circle containing a icon.

Editable documents

If your document is editable, click the icon button, located on the far right of the toolbar, to switch from document review mode to document edit mode. The pencil icon changes color and the toolbar is updated to indicate that you’re in edit mode.

Once you start editing, the icon changes to a Save document button and indicates the number of unsaved changes. Click the button or press Control+S to save the changes in your document.

The number of unsaved changes corresponds to the number of drafts or unsaved fragment changes in your document.

Once you have saved any changes, you can click the icon button to switch to review mode.

Readonly

If the document cannot be edited, you see Readonly. This could be because:

  • The document is marked as “readonly”.
  • The group does not have permission to edit.
  • The user does not have permission to edit.
  • You are viewing a version.
