Tasks page

Key point: Review and manage tasks in your group.

The group tasks page shows a summary of tasks in the group. 

The default view is a table format.

The workflows page can also be accessed from this page by clicking the icon.

Shown on the left, preceding the table or cardwall, is the total number of tasks in the group for the selected assignee. On the far right, you can click the plus button to open a drop-down of actions.

Task bar

The task bar at the top provides options to switch between the table format and the cardwall format.

  • Clicking the  icon to view the tasks in cardwall format.
  • Click the  icon to view the tasks in table format.

The active tasks assigned to you are shown by default.

You can filter the tasks that share the same attributes (for example, status or assignee) or match a particular piece of text in the title.

To search for a task, start typing in the Task or document title field. It immediately filters the tasks and highlights the matching text in the title.

To the right, you can narrow your search by selecting one of the options from the drop-down in the status or assignee fields. Clicking the  icon at the far right reverts the status and assignee search to the Any and Anybody options.

At the bottom of the task bar on the left is the total number of tasks in the group for the selected assignee or status. You can reload the tasks by clicking the icon.

Table format

The table format is the default view. Tasks are sorted in priority order by default. To sort the details in the table columns, click the  icon to the right of each column heading. 

  • Priority – indicated using priority icons.
  • Task – click to open the task panel.
  • Document – icon for the media type and document title of the document the task was created on, click the   icon to preview the document in the document panel on the right.
  • Status – the current status of the task.
  • Assignee – the group member assigned to the task.
  • Due – the date when completion of the work is required.
  • Modified – the relative time the task was last modified. Hold the cursor over this to see the date and time in full as a tooltip.

Update task dialog

You can update a task by clicking the Update button at the right end of each task row.

It displays the update task dialog where you update the task by changing the statuspriority, assignee, due date, and/or labels along with a comment. The task comment is required and useful to explain the reason for the task update or leftover work. You can also add attachments to the task – click the Attach files button.

Editing the task Title also modifies the discussion title.

Use the message settings to decide who is to be notified of the change.

Even if you select "minimal", members of your group with the role of approver might be notified depending on the status.

Click Update task to confirm your changes, or Cancel.

The table is updated to reflect any change made to the task.

Create task dialog

On the far right, click the plus button, then select the  Create Task option to open the Create task dialog.

A Title for the task and then a comment are required to be entered. The status, priority and assignee are selected in the drop-down menus. A Due date, when completion of the task is required – nominate by clicking in the field then click a date on the calendar.

You can type a name in the Assignee field. If there are a lot of members, names might not show in the drop-down.

Click a label to apply it to the task, or create a new label by clicking the icon.

Attachments can be added by clicking the Attach files button.

The default notification for a task is Normal or Minimal (if there’s an assignee). You can change the notification settings by clicking the icons on the right.

Click the Create button to create the task.

Cardwall format

Depending on which option is selected, the columns of the cardwall represent either a status or an assignee. Within each column, the tasks are listed in priority order – highest to lowest.

Organized by status

When the Status option is selected, each column heading indicates the status of the task. The number of tasks that currently have that status is displayed to the right.

Dragging the cards from one column to another lets you change the status of the task.

All tasks with an active status are loaded and included in the cardwall. But tasks with an inactive status are only loaded if they are less than one year old.

When the cardwall is organized by status, the Assignee drop-down is available in the filter options at the top, but the Status drop-down is no longer available. Cards also include the assignee, but not the status.

Organized by assignee

When the Assignee option is selected, each column heading indicates the assignee of the task. The number of tasks that currently have that assignee is displayed to the right. Dragging the cards from one column to another lets you change the assignee of the task. 

The first column is always Nobody, so that it is possible to see tasks which are not assigned to anybody.

When the cardwall is organized by assignee, only the Status drop-down is available in the filter options at the top; the Assignee drop-down is no longer available. Cards also include the status, but not the assignee.

Some groups can have many members so only members which have tasks assigned to them are considered. To add a new assignee, you need to assign the task using the task panel.  Refresh the cardwall to display the new assignee in its own column.
