Batch action dialog

Key point: Process multiple files at once from the search results.

The search results allow users to process multiple files at once using a search action.

Batch actions are available for documents, tasks, comments, workflows and URLs only.

You can either press enter in the search bar, or perform a search first using the available filters to narrow your search, and then select format Table.

Choose a scope

Choosing a search scope option when in format Table displays checkboxes to the left of each result in the table. Click the checkbox in the left column in the table header to select all the search results on the current page, or click checkboxes beside individual results.

Clicking the checkbox in the table header only selects results on the current page, that is, the results that are currently visible. If there are multiple pages click Select all [X] items in search results to apply the action to all results.

Selecting one or more results to include in your batch action enables the Select an action button.

Batch actions

With one or multiple items selected, click the icon on the right of the Select an action button to reveal batch actions which are available for most scopes.

Each action opens a dialog box with the necessary options for performing the action on all your selected documents at the same time.

Document batch actions

Batch actions available on the selected documents are:

  • Add label – add a document label.
  • Add version – add a version.
  • Add workflow – add a workflow.
  • Archivearchive the documents.
  • Export – export the documents to a ZIP file.
  • Move – moves all the selected files to a single folder. To preserve the folder structure, use move folder option instead.
  • Process – by default, the process configured to the Select an action button is the generation of a references document from the selected documents. This can be customized to offer additional processing.
  • Remove label – Select one or more labels to remove from the selected documents. 
  • Validate – validate the documents.

Two additional actions are available on PSML documents, for administrators only, when in developer view:

  • XML Usage report – A usage report is generated and is then be available as a CSV download.
  • XML Usage schema – A usage schema is generated and can be attached to a document type from the available list. The created schema is then available as an option when validating documents.

Comment and task batch actions

You can apply the following batch action to comments and tasks:

  • Add label – add a label.
  • Remove label – Select one or more labels to remove from the selected items.

URL batch actions

You can apply the following batch actions to URL documents:

  • Add label – add a label.
  • Remove label – Click one or more labels to remove from the selected URLs.

URL batch actions are only available to users with edit all URLs permission.

For developers: It is possible to create a custom process using the batch source type in the publish config.

Running a batch action

Click Run to start the batch action process.

While PageSeeder updates your items, a progress bar is shown. You can press the icon at any time to stop the process; however, it might not revert your changes.

When the process is completed, a summary of actions is shown. You can click Refresh results to return to the search and update the results in case your actions affected the search results, or Close to return to the search without updating.
