Workflows and tasks

Key point: Workflows are for documents, tasks are more general.

Document workflows and tasks are similar, but they have a different purpose.

  • A document can only have one workflow, but can have any number of tasks.
  • A workflow is directly associated with the whole document, but tasks can be attached to the document or any part of the document, including fragments in PSML and pages in PDF.
  • The status of a workflow reflects a stage of the document lifecycle whereas the status of a task reflects a required action.
  • By default, workflow notifications only notify the current assignee of changes. By contrast, anyone that has been involved in the task – including authors and assignees – is notified of changes.
  • A workflow step cannot be removed, but because tasks are comments plus metadata, they can be archived, edited or moved. Tasks can also have a type and comment properties though the API.
