Document info and metadata panel

Key point: Edit your document properties and metadata, and review the sharing information.

To view the Document info & metadata panel, from a document view page, click the icon in the right sidebar. The document Properties tab is displayed by default. You can click the Metadata, Publication (only displays if the document is a component document in a publication) or Sharing tabs to view more information about the document.

Properties tab

Some of the document properties can be edited, depending on the editing configuration of the document type. If a field can be edited, a grey icon is on the right. Click a field to edit.

Document title

The title of the document. This might be different to the content of the heading in the first fragment of the document. The length is restricted to 250 characters.

Document labels

Available labels that can be applied to the document. A custom label can be created by clicking the icon. After selecting or creating a label, press ENTER to apply the label.

Document ID

An identifier for the document.

URI ID

The URI ID is a number assigned by the system to every new document, folder or URL when they are created. It is a unique number that never changes.

Description

A short description for the document.

Created

The date the document was first created.

Last modified

The date the document was last modified.

Publication ID (publications only)

If the document is a publication root, the ID for the publication.

Publication type (publications only)

If the document is a publication root, the publication type – edit selection from drop-down menu.

Domain (URLs only)

The hostname of the Website for the current URL.

URL (URLs only)

The full URL to open the external Website in a new page. Click the icon on the right to update the URL, then optionally add a comment to the URL.

URL type (URLs only)

The URL type.

Filename (documents only)

The filename of the document.

Folder (documents only)

The path to the folder that contains the document. Click the permalink to go the folder on the documents page.

File type

The media type of the document.

Document type

A type for the document.

Workflow status

The current state of the document’s workflow.

Latest version

The current version of the document.

Click the Save button to save your edits. You can click the Make this document a publication button to open the make this document a publication dialog.

Click the Make this document a publication button at the bottom right of the panel to open the dialog. PageSeeder automatically generates a valid, globally unique identifier for your publication, making the document a publication root. The publication ID prefix is generated from the group name, the middle part is generated from the start and end of the document title, and the suffix is random. You can edit the suggested ID.

The Type field shows the current publication type – if other types are available, select from the drop-down. See how to create a publication.

Click the Submit button. After submitting, click the Save button to save your changes.

Metadata tab

Store metadata about any non-PSML file using all the features of PSML properties.

Click the Metadata tab:

If properties don’t exist

You see a message in a blue box with an  icon indicating there are no properties. To add properties, click the Add property button to open the Add property dialog.

If properties exist

The property names and values are editable by clicking the icon, or deleted by clicking the  icon.

If a document is NOT part of a publication

You can add properties to a standalone document. Click the Add property button to open the Add property dialog.

If a document is the root document of a publication

Properties added in the Metadata tab in a root document are available for use anywhere in the publication. So the metadata on the root also displays in the publication tab of any of its component documents.

A message in a yellow box with a icon indicates the document is a publication (root).  To add properties, click the Add property button to open the Add property dialog.

If a document is not the root document of a publication

See Publication tab, described following, for any documents that are part of a publication but not the root.

Click the Save button to accept any edits.

Publication tab

Any component in a publication displays the Publication tab. The publication tab contains the metadata for the publication root.

If the document is part of a publication, a message in a yellow box with a icon indicates that fact, and shows the publication ID XXXX_XXX, followed by the publication metadata properties.

You can edit or delete any root properties. To add properties, click the Add property button to open the Add property dialog.

If no properties exist on the publication, you see a message in a blue box with an  icon indicating there are no properties.

Single value properties can be mapped to placeholders throughout the publication.

To add a property, enter values for:

  • Title – displayed in the document info & metadata panel.
  • Name – name for the property – displays in the document.
  • Value – value for the property.
  • Datatype – from the drop-down choose: string, date or datetime.

Click the Submit button to accept the property.

Sharing tab

If the document isn’t part of a folder that is shared, you see a message in a blue box with an icon indicating the document is not shared.

If the document is part of a folder that is shared, the groups the document is shared with are listed in a table. For each group, it is indicated what members are able to do in that group using for when they are allowed an operation or when they aren’t:

  • If it is editable, contributors of that group can edit the document.
  • If the currently logged in user can add comments or tasks to the document in that group.
  • If edits and xrefs are shared across all the groups (in PageSeeder v5.99 the option to not share was removed, so they are always shared).
